RULES AND REGULATIONS

Sunday, April 25, 2010  11 AM to 6 PM   In Forest Park on the Muny Grounds

1. Festival held rain or shine. EDUCATIONAL BOOTH FEES ARE NON-REFUNDABLE.

2. Allotted space is determined by the nature of your activity/demonstration/exhibit.

3. One 8-foot table and one chair will be provided:

  • All tables MUST have table coverings.
  • Additional tables and chairs available for an additional fee

4. Tenting is encouraged, but not required.

  • St. Louis Earth Day does not provide tents.
  • You may rent a durable, anchored 10x10 tent for an additional fee.

5. ALL TENTS MUST BE SECURED FOR SAFETY REASONS

  • ABSOLUTELY NO STAKING IN THE GROUND (to prevent damage to in-ground sprinkler systems)
  • Acceptable: Sand bags, cinder blocks or water ballast, all must be TIED to tent structure.
  • Tents WILL BE inspected and violators must adjust or take down their tents, no exceptions.
  • Violators will be cited. If damaged is caused, a repair fee will be accessed by the City of St. Louis.

6. Educational Activity Provider is responsible for his/her exhibit and all items in it.

7. Exhibits must be ready to open by 11 AM and remain open until 6 PM.

8. Food items/beverages CAN NOT be sold or given away unless given permission by St. Louis Earth Day.

9. Educational Activity Provider MAY NOT give away plastic bags with any give-aways.

10. Recycling is expected and containers will be provided.

11. Smoking is not permitted in booths.

12. Educational Activity Providers may sell or promote products or services, so long as the primary focus of the booth remains on the approved activity. If the Educational Activity Provider sells anything, it is responsible for paying sales tax in compliance with local and state tax law.

13. In order to obtain an Event License Waiver, Vendors must complete and submit the License Collector's form (see Vendor Resources). 

14. Educational Exhibitor must comply with the rules & regulations of Forest Park and the City of St. Louis.

EDUCATIONAL ACTIVITY PROPOSAL GUIDELINES

Sunday, April 25, 2010  11 AM to 6 PM   In Forest Park on the Muny Grounds

Educational Activities add to the fabric of the St. Louis Earth Day Festival by providing attendees with content-rich activities that inform, entertain, and inspire them. We invite you to participate in the Earth Day Festival in this capacity to help educate and motivate thousands of festival attendees to think, live and act green.

Since the organizations that develop Educational Activities provide a service to St. Louis Earth Day, the booth fee is significantly discounted. In exchange, we ask that your exhibit or activity be of substance and promote bigger-picture issues beyond just your own organization/company.

GUIDELINES FOR SUCCESSFUL PROPOSALS:

  • Accepted proposals will educate event attendees about topics directly related to environmental and sustainability education and issues.
  • Proposals can be activities, demonstrations, or exhibits.
  • Whatever the format, successful proposals will be engaging, dynamic, informative, and interactive.
  • Proposals can be designed for a universal audience or tailored to appeal to a specific age group. (Children's activities are encouraged!)
  • Proposals must go BEYOND your organization/company and address bigger-picture issues.
  • Collaboration with other organizations and agencies is encouraged as long as the outcome addresses the stated criteria.
  • It is fine to tweak an accepted proposal, but major changes should be submitted for review by St. Louis Earth Day staff.
  • Applications are open to businesses, organizations, agencies, or individuals if guidelines are met.*
  • Educational Activity Providers may sell or promote products or services, so long as the primary focus of the booth remains on the approved activity. If the Educational Activity Provider sells anything, it is responsible for paying sales tax in compliance with local and state tax law.
  • Alternatively, one company can purchase two booths, one at the Commercial rate and one at the Educator rate. This cleanly separates activities but will draw more people to your booth and will extend your exposure AND impact! (See the last example below.)

 

*In addition to providing engaging activities for Festival attendees, this program is designed to give organizations and businesses with limited financial resources an alternative means to contribute. Therefore large companies may be denied acceptance because they are not the target of this accommodation. Should this be the case, the company is still welcome to participate at the full booth rate.

 

EDUCATIONAL ACTIVITY EXAMPLES:

  • Missouri Coalition for the Environment - Created "Sustainability Pursuit," an interactive human board game where participants learned about how their choices affected the environment.
  • Stream Team - Displayed a live macroinvertebrates exhibit where participants learned about the downstream implications of what goes into upstream storm drains.
  • St. Louis Biofuels Club - Developed an elaborate mobile biofuel exhibit that provided first-hand knowledge on making biofuels.
  • Greenway Network - Provided materials and volunteers to help participants learn about invasive plant species by using them to make Sun Prints.
  • Usborne Books - One booth sold children's books and promoted the company (Commercial) while the second booth hosted an art activity where children decorated and personalized recycled cardboard book boxes for their favorite books (Educational).

 

THEMATIC NEIGHBORHOODS:

The Festival layout clusters vendor/exhibitor booths with educational activities to better serve the public by grouping environmental topics together. Themed "Neighborhoods" will receive special distinction via Festival signage, placement in the program and on the website. Rather than put all of the activities in one area together, we hope to encourage people of all ages to explore and learn new things.

Please keep the neighborhood distinctions in mind when creating your proposal.

We are happy to work with you to determine which neighborhood best accommodates your goals.

 

HOW TO BECOME AN EDUCATIONAL EXHIBITOR:

Submit an initial Activity Proposal Application to determine if it your idea is in keeping with the Festival's educational goals.

You will be contacted for follow-up information, then provided with a link to payment options if your proposal is accepted. Registration is only complete with Proposal acceptance and full payment.

Note: Electricity is available for an additional $40.
